  • Waste handler SOP

Scenario 1: Waste handler acts as logistic partner

In this situation all trading partners, payment and delivery terms and conditions are pre-defined. The role of the waste handler is limited to providing logistic support by picking up the waste from the source (generally the factory warehouse) and delivering it to the location advised by the buyer (port or the recyclers' warehouse). This also means that the supplier takes full responsibility for the content and the packaging of the shipment to be in conformity with the buyer’s requirement.

Step 1: Receive and acknowledge notification from the RR platform for required services. The notification includes details of the material (quality, quantity, weight, packaging information) and pick-up/delivery locations & dates.

Step 2: Pick up the material when goods are ready (notification will come as an incoming shipment from the supplier on the platform).

Step 3: Confirm receiving of the material, to confirm the content of the consignment matches with the online shipment.

Step 4: Create a consignment/shipment on RR Platform using the materials from the corresponding incoming shipment from the factory and send it to the buyer notifying that the goods are ready for dispatch.

Step 5: Deliver the material as per agreed Incoterms to the asking destination. The waste handler is responsible for maintaining all commercial documentation required during the transportation, including collecting invoices from the buyer and receipts from the seller.

Step 6: Upload all relevant documentation to the RR Platform.

Step 7: Complete the process by rating all the involved organisations on the RR Platform with comments.

Scenario 2: Waste handler acts as logistic partner with additional services (cleaning, packaging, labelling & storage)

In this situation all trading partners, payment and delivery terms and conditions are pre-defined. The waste handler is required to pick up the materials from the source in raw, semi-segregated or contaminated with foreign materials, and is required to provide additional services such as preparing the material as per the buyer’s requirement which may include the following;

  • Further segregation;

  • Cleaning the materials from any alien materials (paper, plastic, etc.)

  • Preparing goods for shipment (packaging, bailing, labelling etc.)

  • Storage for a certain (as required) period of time

And finally, deliver the goods as per agreed Incoterms to the advised destination.

Step 1: Receive and acknowledge notification from the RR Platform for required services. The notification includes details of the material (quality, quantity, weight, packaging information) and pick-up/delivery locations & dates.

Step 2: Pick up the material when goods are ready (notification will come as an incoming shipment from the supplier on the platform) and transfer them to their own warehouse.

Step 3: Confirm receiving of the material, to confirm the physical content of the consignment matches with the online shipment.

Step 4: Perform a quality inspection on the received materials to confirm their compliance with the agreed terms. Provides feedback to the factory and rates the transaction on RR Platform with comments.

Step 5: Perform the required actions on the materials and record the process as an internal operation specifying the process loss and the output quantity on the RR Platform,

Step 6: Create a consignment/shipment on RR Platform using the materials from your own inventory and send it to the buyer notifying them that the goods are ready for dispatch.

Step 7: Deliver the material as per agreed Incoterms to the asking destination. The waste handler is responsible for maintaining all commercial documentation required during the transportation, including collecting invoices from the buyer and receipts from the seller.

Step 8: Upload all relevant documentation on the RR Platform.

Step 9: Complete the process by rating all the involved organizations on the RR Platform with comments.

Scenario 3: The waste handler fulfils an order from a recycler in the RR network by sourcing materials from suppliers in RR network.

In this scenario, the waste handler acts as an interim buyer and seller of the materials, where they receive an order from the end buyer, buy the required materials from suppliers in the RR network and completes the transaction by delivering the ordered materials to the recycler.

Step 1: Receive and acknowledge the incoming order from the buyer through the platform. The order will have detailed information about the material (quality, quantity, weight, packaging specifications), payment terms, delivery terms and additional comments (if any) in the form of plain text or attachments.

Step 2: Source for the required materials to fulfil the order from within the RR supplier network and/or your inventory that has been previously collected from the RR network. Use the RFQ/Offers feature in the platform or request the help of your RR contact (service manager).

Step 3: Once potential supplier(s) is identified, create an order in favour of them on the RR Platform and wait for an acknowledgement.

Step 4: Upon order placement confirmation, create a consignment on RR Platform for the incoming order and share the status with your buyer. This way the buyer will get an overview and progress of the order status.

Step 5: Pick up the material when goods are ready (notification will come as an incoming shipment from the supplier on the platform) and transfer them to your own warehouse.

Step 6: Confirm receiving of the material, to confirm the physical content of the consignment matches with the online shipment.

Step 7: Perform a quality inspection on the received materials to confirm their compliance with the agreed terms. Provides feedback to the factory and rates the transaction on RR Platform with comments.

Step 8: Perform the required actions on the materials and record the process as an internal operation specifying the process loss and the output quantity on the RR Platform.

Step 9: Create a consignment/shipment on RR Platform using the materials from your own inventory and send it to the buyer notifying them that the goods are ready for dispatch.

Step 10: Deliver the material as per agreed Incoterms to the asking destination. The waste handler is responsible for maintaining all commercial documentation required during the transportation, including collecting invoices from the buyer and receipts from the seller.

Step 11: Upload all relevant documentation on the RR Platform.

Step 12: Complete the process by rating all the involved organisations on the RR Platform with comments.

Scenario 4: The waste handler acts as a buyer of waste and sells it to a recycler outside of the RR network.

In this scenario, due to the absence of an incoming order from within the network, the waste handler chooses to sell to a recycling company outside the RR network, using material sourced from suppliers in the RR network.

In the network, each waste handler has the freedom to act as an independent buyer of waste to stockpile materials into their own inventory. However, priority always has to be given to fulfilling incoming orders from within the network.

Step 1: Use the RFQ/Offers feature in the platform or request the help of your RR contact (service manager) to seek desired material types from within the RR network.

Step 2: Once potential supplier(s) is identified, create an order in favour of them on the RR Platform and wait for an acknowledgement.

Step 3: Pick up the material when goods are ready (notification will come as an incoming shipment from the supplier on the platform) and transfer them to your own warehouse.

Step 4: Confirm receiving of the material, to confirm the physical content of the consignment matches with the online shipment.

Step 5: Perform a quality inspection of the received materials to confirm their compliance with the agreed terms. Provides feedback to the factory and rates the transaction on RR Platform with comments.

Step 6: Perform the required actions on the materials and record the process as an internal operation specifying the process loss and the output quantity on the RR Platform.

Step 7: Notify your RR contact (service manager) about your intention of selling to a potential buyer outside of the RR network.

Step 8: Request RR to create a recycler in the platform mentioning the location (city, country) & recycling type, withholding the company name.

Step 9: Complete the process by creating and shipping the consignment virtually to the created Recycler.

Scenario 5: Waste handler sells own sourced material to a recycler in RR Network

Waste handler fulfils an active order from RR network recycler, using his own source materials. This is only allowed when the desired material type/quantity is not available within the RR suppliers network.

Step 1: Receive and acknowledge the incoming order from the buyer through the platform. The order will have detailed information about the material (quality, quantity, weight, packaging specifications), payment terms, delivery terms and additional comments (if any) in the form of plain text or attachments.

Step 2: Notify the buyer and receive a confirmation of their willingness to buy the material from a non-RR source (i.e., without the proper background trace).

Step 3: Upon confirmation of the unavailability of the desired material within the RR network, the waste handler proceeds to complete the order from his own source materials.

Step 4: The waste handler records the material into their inventory by selecting “Open Market” as the source of materials.

Step 5: Create a consignment/shipment in the Platform using the materials from your own inventory and send it to the buyer notifying them that the goods are ready for dispatch.

Step 6: Deliver the material as per agreed Incoterms to the asking destination. The waste handler is responsible for maintaining all commercial documentation required during the transportation, including collecting invoices from the buyer and receipts from the seller.

Step 7: Upload all relevant documentation on the RR Platform.

Step 8: Complete the process by rating all the involved organisations on the RR Platform with comments.
